In this tutorial, we will demonstrate how to automatically sync data from Pipedrive to Airtable. We will utilize the Data Fetcher extension in Airtable to establish a connection with Pipedrive, map the necessary fields, and set up an automatic synchronization schedule. This integration will ensure your Airtable base remains up-to-date with your latest Pipedrive data.
Install Data Fetcher from the Airtable marketplace. Data Fetcher is a free extension that allows you to automatically sync data from Pipedrive to Airtable. After adding the extension, either sign up for a new Data Fetcher account for free or log in if you already have one.
After logging into Data Fetcher, you'll be on the home screen. Click Create your first request. Requests are how Data Fetcher syncs data from external applications, like Pipedrive.
On the create request screen in Data Fetcher, for Application, select Pipedrive.
Paste your Pipedrive API key into Data Fetcher under Authorization. Locate your API token in your Pipedrive account settings.
For Endpoint, choose the Pipedrive data that you want to import to Airtable. We will use the List all deals endpoint.
Name your request "Import Pipedrive Data".
Click Save & Continue.
Select the Output Table & View in Airtable where you want the Pipedrive data to be synced.
Click Save & Run to run the request manually for the first time.
After setting up the request to fetch data from Pipedrive, you will be directed to the Response Field Mapping screen. This allows you to define how data from Pipedrive should be imported into your Airtable base.
For each field available in the Pipedrive data, you have the option to map it directly to an existing field in your Airtable base or to create a new field. To map a field, click on Existing field and the dropdown menu next to the field name and select an existing field or create a new one by choosing New field and selecting the field type.
You can also use the Select all option to automatically include all fields, or De-select all if you prefer to manually select which fields to import.
After configuring the mappings, click Save & Run.
Data Fetcher will then create any necessary fields in your Airtable output table and then run the request, syncing the Pipedrive data into Airtable.
To automate our Pipedrive data syncs, we will use Data Fetcher's schedule feature. This will run the request automatically, even when you are not logged into Airtable or do not have Data Fetcher open.
You will need to upgrade to a paid Data Fetcher plan to use this feature.
Scroll to the Schedule tab on the request screen, and click Upgrade.
A new tab will open where you can select a plan and enter your payment details.
Return to the Data Fetcher extension and click I've done this.
Under Schedule click + Authorize.
In the window that opens, select All current and future bases in all current and future workspaces. This will avoid the need to do this step again in the future when you use Data Fetcher in other bases.
Click Grant access.
Back in Data Fetcher, the Schedule will now be turned on. You can change the schedule to the exact one you want, e.g. sync the Pipedrive data every hour. Then click Save.
The Pipedrive to Airtable sync will now run automatically and import your data on the schedule.
